The Company provides only high-quality, durable medical equipment, prosthetics, orthotics, and supplies (DMEPOS) and other items that meet applicable Food and Drug Administration (FDA) regulations and medical device effectiveness and safety standards that are ordered by the prescriber (when applicable). All equipment, devices, and supplies are based on client needs and accommodate any contractual payer requirements. The appropriate equipment/device/supplies is selected based on prescriber order, client need, contractual obligations, and client request. The Company obtains copies of the manufacturer's features, warranties, and instructions for each type of non-custom-fabricated item. Equipment and devices are labeled with the organization’s name, address and phone number (as appropriate).

All equipment, devices, and services provided for client use are stored in clearly identified patient-ready areas.

Manufacturer manuals, preventive maintenance instructions, documentation of product features, and warranties for all equipment the organization provides are maintained in a central location accessible to employees.

Preventive maintenance and testing are performed on all equipment by the manufacturer’s recommendations and/or organizational policy. The organization has a process to identify equipment scheduled for maintenance and provides the needed maintenance or repair of the equipment and devices according to the manufacturer’s guidelines or recommendations, whether the item is owned or leased by the organization. If there are no manufacturer’s guidelines, maintenance is performed when equipment is returned from patient/client use on an as-needed basis. Patients/clients are supplied with replacement equipment when applicable while repairs and/or maintenance are performed on rental equipment. Replacement equipment may also be offered, if available, while customer-owned equipment is being repaired. A permanent record of all repairs, maintenance, and service performed on equipment is maintained.

All employees who perform repairs, quality checks, and maintenance are trained by qualified individuals. Persons without such training are not permitted to attempt to perform repairs, quality checks, or preventive maintenance. Manufacturer-certified training is obtained whenever required. Written evidence of training is maintained in the employee’s personnel file.

The following are steps used to ensure that maintenance, repairs, and quality checks for all equipment and devices are handled in a timely, efficient, and organized manner:

  • The organization maintains information from the item manufacturer’s regarding the guidelines and recommendations for scheduled maintenance, cleaning or calibration.

     

  • Performance of manufacturer’s suggested maintenance/service is documented in a uniform manner, such as on stickers attached to equipment and/or in a log kept onsite.
  • All requests for equipment repairs are managed through the organization’s process and may include written request, documentation on a repair tag or a form that may be sent to the technician responsible for the repair.
  • The maintenance and repair data for each repaired item lists the following types of information (as needed):
  • asset name, number, manufacturer, type, serial number
  • reason for repair/maintenance
  • date item went into service
  • date(s) of repair/maintenance
  • name of the person who picked up the broken equipment
  • name of the client/patient
  • any additional information about the problem with the equipment
  • disposition of the item after repair/maintenance
  • All equipment is cleaned both before being sent for repair and afterwards when needed.
  • After equipment is repaired, it is identified as “rental ready,” and protected from dust or dirt. The equipment is then returned either to the client/patient, or to the warehouse “clean” inventory. Any defective item or item that is unable to be repaired is either disposed of properly or returned to the manufacturer (as appropriate)
