The Company provides scheduled preventive maintenance, repairs, and testing of all equipment and devices provided to patients/clients as recommended by the equipment or device manufacturer.
The organization has a process to identify equipment scheduled for maintenance. It provides the needed maintenance or repair of the equipment and devices according to the manufacturer’s guidelines or recommendations, whether the item is owned or leased by the organization. Equipment maintenance forms are kept for all equipment documenting preventive maintenance, safety/quality checks, and repairs. The Company keeps a permanent history of maintenance and repairs for each piece of equipment in the inventory.
:procedure
The maintenance history and repair data contain the following types of information (when applicable):
- Date equipment went into service
- Tracking of the equipment’s locations over time
- Manufacturer/model number
- Serial number
- Documentation of preventive maintenance per manufacturer’s guidelines and/or projected dates of manufacturer-recommended scheduled maintenance, cleaning and calibration
- Cleaning of equipment between clients/patients
- Hours accrued at each testing/cleaning/preventive maintenance for equipment with hour meter
- Dates maintenance performed
- Dates and reason of performed repairs
- Disposition after maintenance of repair
- Operational verification procedure performed between clients/patients and per manufacturer’s guidelines
- Repair of equipment failing the operational verification procedure
The following written records are also maintained in their respective locations (when applicable):
- A rental-ready tag indicating that all function checks have been performed
- Date due for next service stickers attached to equipment (when applicable),
- Manufacturer’s service checklists (e.g., for high-tech equipment, apnea monitors, ventilators)
- Manufacturer’s repair slips to be sent to management
- Equipment maintenance history for any items modified or repaired at the Company
State-Specific Regulations
- North Carolina Specific requirements are listed regarding the information that must be documented in the repair log.
- Oklahoma The Company must be able to demonstrate how appropriate equipment flows through various departments to ensure that the equipment is properly disinfected, repaired, stored, and/or maintained.
